Velox Grants

SEAI Grant Admin, Handled Properly.

We help Irish retrofit contractors manage SEAI applications, paperwork, compliance checks, and payment files, so grants move faster and fewer jobs get stuck in admin.

Send the paperwork once. Velox tracks the grant file from intake to payment readiness: documents, rules, deadlines, missing evidence, next actions, and approval checks where they matter.

Built for SEAI-registered contractors across solar, insulation, heat pumps, heating controls, and retrofit works.

Final checks

Verified by Velox

2026 SEAI changes have made file readiness more important earlier in the job, especially where timing, BER evidence, and payment packs need to line up cleanly.

Independent of SEAI

Velox helps contractors organise and prepare paperwork. SEAI makes the final grant decisions.

Systemised file handling

Applications, Letters of Offer, BER evidence, Declarations of Works, payment requests, invoices, and Reworks are classified into one reviewable job file.

Customer data handled carefully

Files can include names, addresses, MPRNs, and payment evidence. We keep access limited and can put a DPA in place before file sharing.

The issue

SEAI paperwork is small until it blocks payment.

Reworks notices

A missing signature, wrong product document, or incomplete Declaration of Works can hold up payment and create urgent follow-up work.

Missed grant value

Contractors can leave money behind when eligible measures are not checked together at quote stage.

Admin drag

Grant files are often managed through email threads, spreadsheets, PDFs, and memory - while jobs keep moving.

Before any paid work

The first call is a fit check, not a sales pitch.

Contractors should not have to pay just to find out whether Velox is useful. The free review is there to understand your current SEAI process, map what can run in the background, and call out the obvious blockers first.

What we check on the review

  • Which parts of the SEAI admin can be taken off your desk
  • What documents can be classified, checked, and queued automatically
  • Where Velox verification is needed before payment packs go out
  • Whether ongoing support would save enough chasing to make sense

Plain outcome

You leave knowing whether Velox should run the file workflow for you, check a few recent files during onboarding, or leave things as they are for now.

Why now

2026 has made clean SEAI files more important.

The point is simple: when grant rules move, the file has to move with them. Velox exists to keep that admin under control before it slows payment.

Updated grant values

SEAI updated a number of grant values from March 2026, which raised the cost of getting a file wrong.

BER timing matters more

The updated BER scale comes into force on 24 May 2026, so assessment timing and evidence need to line up cleanly.

Less slack in the workflow

When jobs are busy, the contractors with the cleanest paperwork lose less time to rework, chasing, and payment delays.

What we do

We take the grant admin off your desk.

Velox is designed to feel like the admin queue is being handled in the background. Send the job information and paperwork once, then the workflow classifies files, checks rules, builds the chase list, and keeps each job moving toward a cleaner payment pack. The work is service-led, with internal software keeping rules, dates, documents, and file notes in one reviewable workflow.

1

Intake and classify the paperwork

Applications, BER documents, product evidence, invoices, Declarations of Works, photos, and payment forms are sorted into a working job file instead of sitting across email and folders.

2

Run SEAI rule and deadline checks

The workflow checks build year, BER position, grant route, Letter of Offer dates, measure conflicts, missing evidence, and payment-pack blockers against the current ruleset.

3

Build the missing-item queue

Open items are turned into clear actions: chase BER assessor signature, request product cert, confirm MPRN, check works date, or prepare the next form.

4

Prepare and verify payment packs

Velox assembles the file, checks it against the expected evidence, and reviews the important calls before anything is treated as ready.

Process

How Velox works

1

Send the files once

Share recent jobs, live jobs, or the current folder structure. Velox turns the paperwork into one job file per property.

2

Velox builds the queue

Documents are classified, dates are read, grant rules are checked, and missing items are split into practical next actions.

3

The system keeps moving

Each job is tracked by eligibility, evidence, Letter of Offer clock, BER position, DoW status, Reworks risk, and payment-pack readiness.

4

Velox verifies the calls

The important checks are reviewed by Velox before a file is treated as ready, so contractors are not left babysitting another dashboard.

Admin autopilot, with review where it matters

Velox is not trying to sell contractors another dashboard to manage. The system handles the repeatable admin work: file sorting, rule checks, date tracking, missing-item queues, and payment-pack status. Velox then reviews the exceptions and the final file decisions.

Managed grant admin

The paid offer is simple: Velox runs the admin queue for you.

The first call is free. We look at how your SEAI admin is currently handled, where files are getting stuck, and whether Velox can take enough of the admin queue off your desk to be useful.

If there is a fit, Velox supports live and upcoming jobs month to month. Recent files can be checked during onboarding so we understand the current process, but the real service is ongoing admin handling, not a once-off report.

Ongoing support

If the fit is right, Velox runs the admin queue in the background.

For contractors with regular SEAI work, Velox gives each job a structured file path: eligibility, application pack, evidence, BERs, Letter of Offer dates, Declaration of Works, payment-file readiness, and Reworks follow-up. The contractor does not need to work out the admin sequence. They see what is ready, what is blocked, what Velox is chasing, and what needs their attention.

The service is still founder-led. The software sits behind the work: document parsing, route-specific checklists, rules checks, status tracking, activity logs, and exception queues. Contractors do not need to learn a new platform on day one or manually manage every grant admin step themselves.

What we keep organised

Document intake, matching, and classification
Route-specific SEAI checklist generation
Missing-item queue with contractor actions
Letter of Offer and grant validity tracking
Payment-pack readiness and reviewer sign-off
Reworks response and evidence tracking

Velox helps reduce avoidable admin errors and supports file readiness. Every check is traceable, Velox reviews the important file decisions, and SEAI makes all final grant decisions.

FAQ

Common questions

Are you part of SEAI?+

No. Velox Grants is an independent service for contractors. We help organise, prepare, and track grant paperwork, but SEAI makes all final decisions.

Do you guarantee grant approval?+

No. No outside provider can guarantee SEAI approval. Our role is to reduce avoidable admin errors, improve file readiness, and make the process clearer.

Who is this for?+

SEAI-registered contractors handling solar PV, insulation, heat pumps, heating controls, windows, doors, or multi-measure retrofit work.

What happens on the free review call?+

We ask how you currently manage SEAI jobs, where delays happen, which parts can be moved into a background queue, and whether there is a real admin problem worth fixing. It is practical, not a hard sell.

Do I have to buy anything after the call?+

No. The review call is free. Paid work is only discussed if there is a clear workflow for Velox to run and you want help with it.

What do you need to get started?+

Usually a walkthrough of your current SEAI process and a small set of recent or live grant-funded jobs, including application records, Declarations of Works, BER-related documents, product evidence, invoices, and any Reworks notices. We agree the scope before you send anything sensitive.

How quickly can Velox start helping?+

For a complete starter pack, we aim to map the workflow and identify the first blockers within 24 hours. Ongoing support then depends on grant volume, file access, and how quickly missing information is supplied.

Will we need to learn new software?+

Not at the start. Velox uses software internally to classify files, track rules, dates, blockers, and review notes, but the contractor experience can stay close to email, shared files, WhatsApp, and short check-ins until a better workflow makes sense.

Do you work with One Stop Shops?+

Yes, but the first version of Velox is focused mainly on independent and small-to-mid-sized SEAI contractors. Larger workflows can be discussed separately.

How is customer data handled?+

We treat customer data as confidential and handle it under GDPR principles. That means access is limited, files are stored securely, and a data processing agreement can be put in place where needed before you share customer names, addresses, MPRNs, or job records.
